Proactively organise and be responsible for the soft facilities services within WGS Richmond office and assist Facilities Coordinator / Manager in maintaining high standards in line with WGS values.

- DHL - Packing and booking shipments (including creating and processing customs forms & troubleshooting clearance issues).
- Ordering packing materials (boxes, labels etc.).
- Obtaining quotes (costs and shipping times) for staff.
- Royal Mail franking.
- Sorting post & carrying out deliveries around office.
- Staff Shop – monitoring inbox, occasionally serving in the Staff shop (Spirit store), preparing orders, logging data into monthly spreadsheet and sending sales figures (via Mat req) to Accounts and Payroll at the end of each month.
- Invoice processing – utilities, raising PO’s, PRS/PPL license renewals, TV License renewal, parking permit renewals.
- Stationery ordering – monitoring stock levels and placing ad hoc orders on request. Also, checking printing paper levels on all floors.
- Business Card ordering.
- Managing ID Badge / swipe card system – adding new starters, removing leavers, ordering new swipe cards from supplier.
- Recording and programming staff lockers.
- Updating H&S notices/information.
- New starter inductions.
- Auditing and refreshing contents of First Aid Kits on all floors.
- Weekly Restaurant menu on The Source – receiving weekly menu (from Chef), updating on The Source on Friday afternoons, printing off copies for display. Setting up meeting rooms in prep/after meetings.
- Relocating office furniture / items.
- Setting up restaurant area for ‘Lunch and Learns’ / other events. Weekly fire alarm test. Reception cover (including all duties such as booking taxis) when Reception is on a break or in First Aid meeting, or if temp cover isn’t available.
- Big Yellow – large deliveries/collections to and from Big Yellow, assisting teams with heavy or bulk items.
- Managing office temperatures on request using BMS panel.
- Office inspections, fault logging, and either fixing when possible or placing call-out with contractors.
- Cleaning inspections.
- General Admin: Filing, photocopying, scanning, sorting and franking of outgoing post and updating noticeboards.
- DSE Assessments / workstation set up

- Experience of working in facilities/business support function
- Good interpersonal skills with the ability to interact with all levels of the company Ability to manage and prioritise own workload
- Post Room experience
- Strong Microsoft Office Skills (Outlook, Word, Excel and PowerPoint)
- Natural problem solver with a can-do approach
